Remote Online Notarization FAQ

What documents can be notarized on Blue Notary?

We can accept most every document with the exception of the following:

  • Any documents that are being submitted to a foreign embassy.
  • Codicils & Testamentary Trusts
  • Form I-9

While many states adhere to similar standards, every state has its own specific requirements for online document notarization. Find your state requirements on the respective Secretary of State website or https://www.nationalnotary.org/.

It's advisable to check in with your receiving party as although RON is well legal, it will always be at the discretion of the receiving party as to acceptance.

What are the document format requirements?

BlueNotary accepts text and image formats as follows:

  • PDF, DOCX, PPTX and XLSX text formats
  • PNG, SVG, JPG, and TIFF image formats
  • Maximum document file size is 30 MB

Fee schedule for businesses & individuals.

  • Notarization (one stamp) - $25
  • Closing Package flat fee - $150

Additional notarizations are available as needed for an applicable fee, which will be processed separately based on your document requirements. This means multiple documents can be done in one session, so long as they have been upload in advance or during the online session. Additionally, our premium remote loan signing service includes one signer per appointment, with additional signers available for an applicable fee.

How does a multiple signer session work?

If your loan package requires multiple signers, the additional signer fee will be processed separately after your initial booking. Additional services may also be available based on your specific document needs. For questions about multi-signer appointments or any other requirements, feel free to contact us before booking.

What do I need to complete a remote online notarization?

To complete a remote online notarization, you’ll need a valid, government-issued photo ID, a stable internet connection, and a device with a webcam and microphone (such as a computer, tablet, or smartphone). You’ll also go through an identity verification process, which includes answering security questions and uploading your ID for review. Once verified, you’ll join a secure video session with the notary to complete the notarization process.

How long does the online notarization or closing process take?

The notarization process typically takes about 15 to 20 minutes for general documents, while a loan signing may take between 45 to 75 minutes, depending on the complexity of the documents and the number of signers. To ensure a smooth and efficient process, please have your documents ready, complete identity verification in advance, and allow additional time for reviewing and signing as needed.

How do I receive my notarized document?

Ensure you are logged into your BlueNotary account and navigate to the My Documents sections and click the Signed Documents category, where you can download your notarized document.

What if my document requires a witness/witnesses?

If your document requires a witness, one can be provided through the platform for an applicable fee. Please be sure to include this in the session details following the initial online booking.

What if you can't connect to audio/video?

Blue Notary has several steps to troubleshooting your connection to get your session completed. The button below will redirect you to our connection assistance page.

Storage of audio/video sessions?

All audio/video recordings are securely stored for at least 10 years on an AWS cloud object server. The recording may be downloaded at any time by signer or notary from the Documents or Journal page, respectively.

After the PDF is unlocked, we can accept it for upload on the BlueNotary platform.

What are the types of acceptable identity authentication?

  • KBA (Knowledge-Based Authentication) - You will go through 5 questions regarding your personal history

Identity analysis (sometimes referred to as ID Proofing) is a process for a signer of a document to affirm their identity through a dynamic knowledge-based authentication (KBA). Most states require a third-party solution for credential and identity authentication. BlueNotary partners with a solution that is able to provide this analysis using KBA and forensic ID analysis on par with bank-grade security processes.

No data is stored by BlueNotary regarding questions or answers generated by our KBA partner.

In the KBA process, the signer is asked a series of 5 questions that pertain to their personal information (i.e. past residences, associates, etc). The signer is required to answer 80% successfully to continue the session. If the signer fails the first set of questions, a second set of questions will be presented. If both sets of questions are not 80% correct, the session is failed. The signer will need to wait 24 hours before starting a new session.

Options for ID:

  • Driver's License, Real ID, or State-issued ID
  • Passport Card
  • Passport Book
  • Permanent Residence Card (Green Card)

If your ID should fail the verification process,  you'll be assisted in finding the best solution to move forward with your notarization with our team's guidance.
